Booking Terms & Guest Policy

1. Reservations & Payments

Your booking is confirmed once payment has been processed. You will receive a confirmation email with your tour details. We may be in touch a few days before your departure with final timing and any relevant information for the day.

• Booking fees: We use a secure third-party platform to process reservations. Please note that their service fees are non-refundable, as they are not collected by Easy Ride South West.

2. Tours & Availability

Easy Ride South West offers three curated private day tours, as well as a flexible Create Your Own option for guests who wish to combine elements from different itineraries or build a fully custom experience. All tours are subject to availability at the time of booking.

• Timing: Pick-up is at 10:00 AM APPROX, with return after the final stop of the day. Exact return times depend on the tour selected and any additional hours requested.

• Itinerary adjustments: While we follow set itineraries, venues may change due to weather, seasonal availability, or conditions on the day. We reserve the right to substitute stops in order to ensure the best possible experience.

• Create Your Own: The Create Your Own tour allows guests to mix elements from our three core experiences. Pricing and logistics for custom itineraries will be confirmed via email prior to booking.

• Advance booking: We recommend booking at least 5 to 7 days in advance to secure preferred venues and restaurant tables.

3. What is Included 

The Easy Ride service fee covers the following for all tours:

• Private door-to-door transport in a modern, air-conditioned vehicle for the duration of the tour.

• A dedicated driver and guide exclusively for your group, from pick-up to drop-off.

• Dedicated camera documentation throughout the day, with a private digital gallery delivered within 48 hours.

• Chilled still and sparkling water throughout the journey.

• Full logistics management, including pre-booking and coordination with all venues on your behalf.

4. What is Not Included

The following costs are not covered by the Easy Ride service fee and are the responsibility of the guest:

• Winery tasting fees, settled directly at each venue on the day.

• Lunch and dining costs, settled directly at the restaurant on the day.

• Any distillery, chocolate or other activity fees at external venues.

In cases where Easy Ride has made pre-bookings on your behalf (such as restaurant reservations), payment for those experiences is made directly to the venue, OR AT THE END OF THE DAY DIRECTLY TO US.

5. Contact & Pickup

It is essential that the phone number and email address provided at the time of booking are active and monitored. If we are unable to reach you or locate you at the agreed pick-up point, this will be treated as a no-show and no refund will be issued.

Pick-up changes: If you need to change your pick-up location, please notify us at least 72 hours in advance.

6. Safety, Health & Conduct

• Dietary and accessibility needs: Please advise us of any dietary requirements, allergies or accessibility needs at the time of booking. We will communicate these to all venues in advance. We cannot guarantee accommodation of last-minute requests on the day.

• Alcohol: Guests must be 18 years or older to consume alcohol. Easy Ride is not responsible for any incidents resulting from the consumption of alcohol at any venue.

• Behaviour: We are committed to providing a respectful and enjoyable experience for all guests. Any aggressive, disrespectful or disruptive behaviour will result in the immediate termination of the tour without refund. Guests are liable for any damage caused to our vehicles or to the venues visited.

• Our team: All drivers are fully licensed, professional and operate in accordance with WA road and safety regulations.

• Coastal walks: For tours that include a coastal walk (Tour 03), sturdy closed-toe footwear is required. Route conditions are assessed on the morning of each tour. If conditions are unsuitable, an indoor alternative will be arranged.

6. Cancellation & Refund Policy

We understand that plans change. Our cancellation policy is as follows:

• 72 or more hours notice: Full refund, minus booking platform fees
• 24 to 72 hours notice: 50% refund, minus booking platform fees
• Under 24 hours notice: No refund available

Refunds are processed within 5 to 7 business days.

In the rare event that Easy Ride must cancel a tour due to driver illness, extreme weather or other unforeseen circumstances, guests will be offered a full refund or the option to reschedule.

 

7. Legal Notes

• Liability: Easy Ride South West is not responsible for personal injury, loss or theft of personal belongings, except where required by applicable WA law. Lost items are held for 30 days.

• Photography and media: By participating in a tour, guests consent to photographs and video taken during the experience being used by Easy Ride South West for social media and marketing purposes.
